Begin with the outcome, then list the work
Describe the result the client wants in one or two sentences. Follow it with measurable deliverables so the value and workload are both visible.

Write the exclusions before assumptions become extras
An exclusion is not negative. It prevents two different interpretations of the same price. List likely extras and explain that added work needs written approval.

Limit revisions and define the timeline trigger
Do not promise a delivery date that depends on missing content or approvals. Start the estimated timeline after written approval, cleared deposit, and receipt of the required materials.

Show the exact deposit and remaining balance
Percentages are easier to understand when the proposal also shows the actual amounts. Link the deposit to reserving the project and the balance to final delivery or launch.

Add validity and one approval step
A proposal expiry date protects the price and proposed schedule. End with one action the client can complete without guessing.
VALIDITY This proposal is valid for 14 days from the issue date. NEXT STEP Approve the scope in writing. I will then confirm the start date and send the deposit instructions.

What is the difference between a freelance proposal and a quote?
A quote usually focuses on the work, price, and commercial terms. A proposal also explains the client's objective, recommended approach, scope boundaries, and approval path. They can be combined in one clear document.
How long should a freelance proposal be?
Use the shortest document that makes the outcome, deliverables, exclusions, timing, revisions, price, payment, validity, and next step unambiguous. A focused small project may need only one or two pages.
Should I send a proposal before discussing the budget?
Confirm the problem, decision process, approximate budget, timing, and key constraints first. A detailed proposal is most useful when the client is qualified and the main assumptions are already understood.
