Start with the client and project details
Put the client name, project name, quote number, issue date, expiry date, your contact email, and the expected project window at the top. The expiry date protects the schedule and assumptions behind the price.
Quote: Q-2026-014 Client: [Client or business name] Project: [Short project name] Issued: [Date] Valid until: [Date] Proposed project window: [Start] to [Delivery]
Describe the outcome before the task list
Begin with a short summary of what the work is meant to achieve. Then list the exact deliverables. This keeps the quote focused on value while making the workload measurable.
Project goal Create a clear, mobile-friendly landing page that explains the service and turns qualified visitors into consultation enquiries. Included deliverables • One landing-page content structure • Desktop and mobile design • One enquiry form • Two consolidated revision rounds • Final production-ready files
Show the price and what it covers
Use the free calculator to include production time, meetings, admin, overhead, revision risk, payment fees, and profit. A short price breakdown can build confidence without exposing every internal calculation.
Project fee: USD 2,400 This fee covers the deliverables above, project management, two consolidated revision rounds, and final file preparation. Taxes, paid stock assets, printing, and work outside the listed scope are excluded unless stated otherwise.
Offer three clear options
Essential protects the minimum scope. Recommended should best match the client’s stated goal. Premium adds priority, speed, or extra value. Make the differences specific.
Essential — USD 1,900 Core landing-page design, one revision round, standard delivery. Recommended — USD 2,400 Complete landing page, two revision rounds, enquiry form, and launch support. Premium — USD 3,000 Everything in Recommended, plus priority delivery and two campaign variations.
Attach payment and change terms
State the deposit, due dates, final-payment rule, included revisions, and how new requests are approved. Keep legal terms appropriate for your location and project.
Payment schedule • 50% deposit to confirm the booking • 50% before release of final production files Changes Requests outside the included scope will be quoted separately. Added work begins only after the revised fee and timeline are approved in writing.
End with one approval step
Do not make the client guess what to do. Ask them to select an option, approve the quote, and pay the deposit by a clear date.
To proceed, reply with your selected option by [date]. I will then send the approval link and deposit invoice. The project window is reserved once the signed approval and cleared deposit are received.
Common questions
What is the difference between a freelance quote and an invoice?
A quote describes proposed work, price, terms, and validity before approval. An invoice requests payment after the agreed trigger, such as booking, a milestone, or completion.
Should a freelance quote include an expiry date?
Yes. An expiry date limits how long the price, assumptions, and proposed schedule remain available. Choose a practical period and state it clearly.
Can I turn this quote template into a reusable system?
Yes. The complete HK$59 toolkit includes an editable quote, time, and income workbook, a quick-start guide, and 15 client-message templates.
